On the Action’s Details tab, we need to select an Action Type to start with. You can choose from the following action type options:

  • Managed Action – If the action required is a routine/repetitive action

  • Training Record – Can be used to capture attendance of a task’s training session

  • Further Action – Can be added as a further action to an existing action

  • Recorded Delivery – Used to confirm the delivery of an assessment to another user

  • Review and Publish – Used to request a user to review and publish an assessment

  • Comments / Notes – Used for any ad hoc action requirements

  • SDS Updated – Can be used to inform the assessment creator of an out-of-date SDS in the assessment

Next, select an Action Priority. Here you can choose one of the following priority levels:

  • Immediate

  • High

  • Medium

  • Low

  • N/A

The Target Date can be set by selecting a date from the on-screen calendar. This date will be the deadline to complete the action.

Now we need to Describe the Action. Here you would add the main body of the email that will be sent to the Actionee(s) so they know what needs to be done.

If you want the action to appear on the published risk assessment, leave the Show Action on Published Assessment switched ON – otherwise click it to switch it OFF.

Please Note: If there are no actions set to be shown on the assessment, the Actions section will not appear on the published assessment.

Lastly we need to specify an Action Owner. This can be yourself, or someone else that has a system account. Simply begin typing the Name of the action owner, and when you see their name appear underneath, just click them. This will add in their name and auto-populate their Email address for you.

If the Action Owner is not you, you can click the Save & Email button to save the action at this point, and to send an email to the chosen Action Owner to inform them of the action you have created on their behalf.

Please Note: If you need to assign someone else as the Action Owner, please remember that ALL Action Owners must be a user in the system. If you cannot locate the Action Owner’s Name, please check to see if they have a system account.

Click the Save & Next button to continue to the Actionee step of the Action process.
