It is possible to export the information that is currently being shown in any of the COSHH365™ system tables, including the Assessment and Substance tables.
To export the data from a table, firstly filter the table accordingly using the column filters as discussed in the article, Table Column Filtering.
In the example below, we will filter the Assessments table to show only assessments with a Medium risk rating and have the term seal in the title of the assessment.
One way of doing this is to start by clicking on the drop-down box under the Risk Rating column header and choosing the Medium option. Next, we apply a second table filter by clicking in the Task Title column filter box and adding the word seal. The assessment’s table will now display assessment data that contains the word seal in its title that have an overall Medium risk rating:
To export the current information being displayed in the table, click on the Export button, and then choose one of the following file formats to export to:
PDF – An uneditable document ready for printing
Excel – A spread sheet file
A file in the chosen format will be created and downloaded to your computer. You will then be able to save the file to your computer, or just open it directly to view.
Please Note: There are two options to export to Excel. The Visible Rows option will only export the pages visited of the current table (if you have clicked next page in the table and viewed them on screen), whereas the All option will export all current table rows - even if you haven't viewed them yet.
Our Advice: You can use multiple column filters to further define the information shown in the table.
