Please Note: Only users with the correct permissions can add new locations to company structure of your business.
To add a new location, or modify an existing location, first we need to go to the Location/User Management area.
1. First, click on the Settings option from the menu on the left.
2. Next, click on User Management, and then click on Location/User Management.
3. Expand the Location Structure to view sub-locations by clicking the little + icon to the left of the main business unit location.
Note: If you only have one location, you will not see the little + icon.
4. Locations that have a RED icon are Primary Locations, whereas locations that have a BLUE icon are Standard Locations.
So whats the difference between a primary and a standard location? Simply put, you would typically set a location as a Primary Location if you would like to allocate its own separate Escalation Settings to it.
Adding a new location
Please note: If you do not see your newly created location in your organisation structure after clicking save, please try pressing Ctrl+F5 on your keyboard. Attempting to add the location again may create duplicate locations.
5. To add a new location, first click the + Add Location button.
6. First, choose a Parent Location. This will be the location we are adding a new location to. To choose a parent location, you can either click on the location tree icon and select it, or you can use the location drop-down box directly.
7. Next type in a recognisable Location Name. Below this, you can add an Assessment Prefix (this is optional, and is only used if your team are using the COSHH365 software. In any case, this can be left blank).
8. Now add in the address details of the location you are adding, including Address, Town, Post Code, County and Country. You can also mark this location as one of your business units by ticking the Primary Location tick box.
9. When all location data has been added, click on the Save button to finish.
Your new location will now be in the company tree structure. Notice that the Spares location we have just added has a RED icon indicating that it is a Primary Location. We can now create a set of Escalation Settings for this new location as it is a primary location.
Edit an existing location
10. If you need to edit an existing location, first click the location in the company structure, and then click the Edit Location button.
11. Now simply make the necessary changes, and then click the Save button update the changes.
