If a user is located at one of the lower locations in the company tree structure, their access to locations at the same level or higher in the company structure is restricted. If a user needs to gain access to any restricted locations above their current location, you can link to them using location tagging.
To do this, begin by clicking the Settings option in the main menu on the left hand side of the screen.
(Please Note: If you do not see the Settings option, it means you do not have permission to tag users to additional locations.)
Next, click on Users and Locations, and then click on Location/User Management.
Next, click the Actions button next to the user, followed by the View Tagged Locations option.
When the Tagged Locations & Settings window appears, you will be able to see the user’s default location displayed in the top part of the window.
To add a new location tag, first choose the new Location you want to give the user access to by either clicking on the location tree icon and selecting it, or by using the location drop-down box directly.
Next, choose a COSHH Role type for the user whilst in the new location. This can be the same role type as the user’s default location, or a role type that provides them with more/less system permissions.
Lastly, if one of your company’s Super User’s has set up the Escalation Settings, you will be able to assign an Escalation Group. This is optional, and won’t be used in most cases.
Once a new location and role type has been identified, click the large Add button to create a new location tag.
The new tagged location will appear in the top section.
To set the new tagged location as the user's default location, click the little button next to it to nominate it as DEFAULT.
Our Advice: You will see a Success! Default Location Set message when default tagged locations have been set.
To finish the new tag process, click on the Save button.
The user chosen will now have access to the new location tagged to their account with permissions allocated to them.
If at some point a tagged location is no longer needed, you can remove them by clicking it's red x icon.
Our Advice: If a user is located at the top level of the company tree structure, that user will have access to all locations and will therefore not need any location tagging.
