Archiving/Unarchiving a User

If you need to block a user’s access to the system, or if a user’s account is no longer needed, you can archive them. To do this, first click the Settings option in the main menu on the left hand side of the screen.

(Please Note: If you do not see the Settings option, it means you do not have permission to archive or unarchive system users.)

Next, click on Users and Locations, and then click on Location/User Management.

From here, click the Actions button to the left of the user’s name, and click the Archive User option.

The user will disappear from the list of active users.

If an archived user needs to be restored, you can unarchive them. First, click the Show Archived switch to turn it on.

The list of users will reload and display users that have been archived. To unarchive a user, simply click the Actions button and click the Unarchive User option.

The user will now disappear from the archived and become be active again.

You can also archive a selection of users in one operation instead of doing them one-by-one.

To do this, first select the users to be archived by clicking each user’s tick box on the left side of its Action button.

Now click the Tools button and click the Archive Selected option.

All selected users will now be archived.

Our Advice: You can also Unarchive multiple users in the same way by first clicking the Show Archived switch to display archived users, selecting the users to be unarchived, and then clicking the Tools button and clicking the Unarchive Selected option.

Please Note: If you archive a location, any users and assessments at that location will be automatically archived. Reallocate a location’s assessments and users prior to archiving it.
