Audit Module FAQs

Quick answers to the questions we are asked most.

Written by Caim Hermoso

Can I use the Audit Module on a phone or tablet? The module is designed for desktop and laptop use, and we recommend using one.

Do I need to be an auditor to use it? No. The module supports formal auditors and people who simply need to run structured checks. Section 0 covers the basics.

Can I run an audit on paper? Yes. Download the template PDF from the template preview, conduct the audit on paper, then enter it into the system afterwards.

Does the number of findings affect my allowance? No. Allowance is counted per audit. An audit with fifty findings costs the same as one with none.

Can two people work on the same audit at once? An audit has one set of assigned auditors, and only an assigned auditor can conduct it. Assign several auditors if more than one person is involved.

Can I edit an audit after publishing? No. Published audits are immutable. Findings can still have root cause analysis and corrective actions added.

What happens to my data if we stop using the module? Existing audits, findings, reports and corrective actions remain accessible in read-only form. Nothing is deleted.

Can I import audits we did before using Safety365? Yes — upload the report and add the findings manually. See 9.7.

Who can see our audits? Users in your organisation with an audit role, subject to their location access. Audits are not shared outside your organisation.

Why doesn't my imported audit count toward coverage? Imported audits have no template, so they can't cover a location for a standard. See Why is a location showing as not covered? [LINK].

Who can set audit requirements? Users with Manage Audit Settings (Audit Administrator by default). See Setting audit requirements for a location [LINK].

Can someone outside my company sign a report? No. Only active users in your company can be added to a sign-off list. See Adding a report sign-off list [LINK].

Do we have to have an audit charter? No. The No active charter setting in Audit Settings → Audit Charter is Off by default. Set it to Warn to record audits at locations with no charter in force, or Block to stop them being scheduled or published. See Setting up your audit charter [LINK].

What does marking a location Critical change? Nothing is calculated differently. Critical is a label: it shows a badge in the Coverage view and adds the Critical Only filter, the Critical first sort and a Critical column in the export. Coverage, due dates, the Audit Plan and scores are unchanged. See Marking critical locations [LINK].

Are the people being audited told about an audit? Only if Auditees told about a scheduled audit is switched on in Audit Settings → Notifications. They’re told when a scheduled audit is saved with them as auditees, or when they’re added to a scheduled audit that hasn’t started — not for ad hoc audits, once the audit is under way, or when it’s published. See Telling auditees about an audit and recording the opening meeting [LINK].

Can the auditee enter their own response? No — there is no auditee login. The auditor records the auditee's response on the Audit Summary step, if the template includes the Auditee Response field. See Recording limitations and the auditee's response.

Where do we record how we sampled? In the Audit Plan section of Audit Details, if the template includes it. You can also add a link to your own sampling procedure or audit plan. See Adding an audit plan and sampling approach to an audit.
