Who this is for: Anyone who schedules audits (Schedule Audits), auditors, and Audit Administrators who manage notifications.
Auditees are the people whose area or work is being audited. You can name them when you schedule an audit, tell them what they need to have ready, let Audit365 tell them about the audit, and record the opening meeting you hold with them.
Naming auditees and what they need
On the Audit Details step of Create New Audit:
Auditee(s) — pick one or more users from your company.
Information required from the auditee (optional) — what they should have ready, for example training records, permits to work, inspection logs or who needs to be available. Up to 2,000 characters.
The auditees appear in the Auditees column in Audit Records and are listed on the published report. The auditor sees the information requested on the audit’s Audit Details step.
Telling auditees automatically
An Audit Administrator turns this on in Settings → System Settings → Audit Settings → Notifications, with Auditees told about a scheduled audit. It is off by default. Select Save after changing it.
When it is on, auditees are told when a scheduled audit is saved with them as auditees, or when they are added to a scheduled audit that hasn’t started. Each auditee gets an email and an Audit Notice under the bell, for example “You are being audited: Fire Safety Audit on 26/10/2026 09:00 at Head Office”. The audit history records “The auditees were told about this audit” and who was told.
Nobody is told:
when the setting is off
for ad hoc audits, which start straight away
when someone is added after the audit has started
when the audit is published
a second time — editing an audit without changing its auditees sends nothing
Changing the auditees
Go to Audits → Audit Records.
Open the scheduled audit’s ⋮ menu and select Edit Audit.
Add or remove auditees, or change the information required, then select Continue and Save Changes.
Each change is recorded in the audit history, for example “The auditees were changed from “Caim Hermoso” to “Sam Patel””. If the setting is on, only the people you added are told.
Note: Edit Audit is only available while the audit is Scheduled. Once it has started, the auditees can’t be changed.
Recording the opening meeting
Open the audit and go to the Audit Details step.
Under Opening meeting (optional), enter the Date held, the Attendees and any Notes on what was agreed. Attendees is free text, so you can include people from outside your company, for example “Sam Patel (Site Manager)”.
Select Save.
The audit history records “The opening meeting record was updated”. When the audit is published, the report includes an Opening Meeting section with the date, attendees and notes. If no meeting was recorded, the section is left out.
If this doesn't work
Someone isn’t in the Auditee(s) list — only users in your company can be picked. Name others in the opening meeting attendees.
An auditee wasn’t told — check the setting is on, the audit was scheduled rather than ad hoc, and they were added before it started.
You can’t change the auditees — the audit has started, so Edit Audit is no longer available.
