Repurposing Archived Locations or Assessments to Free Up Your Limit

If your System Account has reached its limit for assessments or locations, then before you contact us for an extension of your limit, you can repurpose archived assessments and locations. Archived locations and assessments count towards your overall System Account limit.

As you can see in the above image, this example account has 95 archived assessments. All 95 of those assessments can be edited and overwritten with new information, essentially freeing up the System Account limit for 95 slots.

Please note: Those 95 assessments are archived in active locations. You may find more inactive assessments under archived locations, which you can also repurpose. I will show you how to do both, below.

Repurposing Archived Assessments

To repurpose an archived assessment, please follow these steps:

1: Click Assessments:

2: Then, click Show Archived:

3: You can now choose any of these assessments to repurpose, or you can search for an assessment which is similar to the new task you are assessing. Once you have found an archived assessment you wish to repurpose, click the Actions drop-down menu to the left of your chosen assessment, and then click Unarchive Assessment:

4: Now, click Show Archived once more to hide the archived assessments:

5: The assessment you just unarchived should now show at the top of the list, allowing you to click the Actions drop-down menu, and this time click Edit Assessment:

6: You will now find that the Assessment Wizard appears on your screen, allowing you to overwrite all of the information in this assessment with the relevant data for the new task you are assessing:

Repurposing Archived Locations

Once you have worked through and repurposed all of your archived assessments, you may find more that you can repurpose under your archived locations. 

To do so, you must first unarchive a location. This location can be rearchived once you have repurposed all of the assessments under it, or it too can be repurposed if you need to add a new location.

To unarchive an archived location, please follow these steps:

1: Click Settings:

2: Now, click Users & Locations, and then click Location/User Management:

3: Now, click Show Archived under the Locations section of your screen:

4: This will now show you all of the locations in your System Account. Take note of the Key above your Location Tree, click the location you wish to unarchive, and then click Unarchive:

5: Now, to view the archived assessments in this now unarchived location, first click Assessments:

6: Then, click the Location Tree button or the Location drop-down menu, and click the newly unarchived location to select it:

7: You will now see the active assessments under this now unarchived location. 

Please note: Those assessments are only now active because you just unarchived this location, so ensure you double-check that these assessments are not needed before you repurpose them:

8: Once you have repurposed or moved those active assessments, click Show Archived once more. This will show you the archived assessments under this now unarchived location

9: Now, you can simply follow the process for repurposing assessments by following the steps right here.
