If your System Account has reached its limit for assessments or locations, you can repurpose archived assessments and locations before contacting us to request an increase. Please note that archived assessments and locations still count towards your overall System Account limit.
As shown in the image above, this example account has 91 archived assessments. These assessments can be edited and overwritten with new information, allowing you to reuse all 91 assessment slots without increasing your System Account limit.
Please note: These 91 assessments are archived within active locations. You may also have additional archived assessments within archived locations, which can also be repurposed. The steps below explain how to repurpose both.
Repurposing Archived Assessments
To repurpose an archived assessment, please follow these steps:
1: Click Assessments:
2: Then, click Show Archived:
3: You can now choose any of these assessments to repurpose, or you can search for an assessment which is similar to the new task you are assessing. Once you have found an archived assessment you wish to repurpose, select the three dots drop-down menu to the left of your chosen assessment, and then click Unarchive Assessment:
4: Now, click Show Archived once more to hide the archived assessments:
5: On the assessment you just archived, select the three dot drop-down menu, and this time click Edit Assessment:
6: You will now find that the Assessment Wizard appears on your screen, allowing you to overwrite all of the information in this assessment with the relevant data for the new task you are assessing:
Repurposing Assessments Within Archived Locations
Once you have worked through and repurposed all of your archived assessments, you may find more that you can repurpose under your archived locations.
In the Assessments area, select Advanced Filters to open the filter window. Here, you will find the Location Status toggle.
If one or more of your locations are archived and still contain assessments, those assessments will not appear in the standard assessments list. Enable the Location Status toggle to display assessments that are assigned to archived locations.
Please follow the steps below to locate these assessments:
1: Select Assessments:
2: Now, select Advanced Filters:
3: Toggle Location Status to Lock and select Apply:
4: This will now show you the assessments within archived locations.
The images above show assessments that are not archived but are stored within an archived location. You may also find additional assessments by enabling both the Archived and Location Status toggles. An image of how to view these can be found below:
