Digital Signees Report

See who has signed their assigned assessments and chase outstanding signatures.

The Signees Report shows who has signed their assigned assessments and who hasn't, across the locations you have access to. Use it to spot outstanding signatures, send reminders, and keep your sign-off records up to date.

To open it, click Reports in the main menu and then select the Signees tab.

Who can see this report

Access is controlled by a new permission, View Signee Report, in the Reports permission group.

  • Super Users and Managers have this permission by default and see every signee at the locations they manage.

  • Standard Users do not have this permission by default. They can still open the page, but they see only their own row, useful for checking which of their own assessments are still waiting on a signature.

If you need to grant or remove this permission for a custom role, edit the role in your permission settings.

The main table

The Signees Report shows one row per person, with the following columns:

Column

What it means

Name

The signee's full name (filterable)

Email

The signee's email address (filterable)

Assessments Assigned to Sign

Total number of assessments this person has been added to as a signee

Assessments Signed

How many they've already signed

Assessments Not Yet Signed

How many are still outstanding

Filtering by location

The table respects the Location Filter Panel at the top of the screen, the same way the Assessment and Action reports do. Change the location to scope the report to a specific site or department.

Exporting

Click the Export button above the table to download the data as Excel or PDF. For more on data exporting, see Exporting Table Information.

Drill-down: view a signee's assessments

Click any row in the main table to open a drill-down modal showing every assessment that person has been assigned, one row each:

Column

What it means

Assessment Title

The name of the assessment

Reference

The assessment's reference number

Date Sent

When the sign-off email was originally sent

Date Signed

When the signee signed, or "Not yet signed"

Send Reminder

Sends a fresh reminder email for that specific assessment

This is the quickest way to chase an individual signee on the specific assessment they're holding up.

Sending reminders

There are two ways to send reminders:

  • Send reminder to all (above the main table) queues a reminder email to every signee at the selected location who has at least one outstanding assessment.

  • Send Reminder (per row in the drill-down modal) sends a reminder to that one person for that one assessment.

Both options are processed in the background, so you can carry on working while the reminders go out.

Please Note: Reminder emails use the same template as the original sign-off notification, and contain a direct login link straight to the assessment.
