Completing the conflict of interest declaration

The declaration you sign before you start conducting an audit.

Written by Caim Hermoso

Who this is for: Assigned auditors.

Before you can work on an audit, Safety365 asks you to declare that you are independent of what you are auditing. The Conflict of Interest Declaration opens the first time you open the audit, in front of the audit wizard.

  1. Read the declaration statement.

  2. Answer Do you have any conflict of interest in relation to this audit? — No or Yes.

  3. If you answer Yes, describe the conflict.

  4. Tick the confirmation box. Ticking it is your electronic signature.

  5. Select Sign & continue. The audit wizard opens.

If you declare a conflict

Declaring a conflict does not stop you working, but it does stop the audit being published until it is dealt with. A Conflict of interest issue is raised automatically, the audit moves to Blocked, and the audit owner is notified. The owner resolves the issue — usually by reassigning the audit, or by recording why the conflict is acceptable. See 11.5.

If you are the audit owner

The declaration tells you if you are also the owner of the audit you are about to conduct, so you can decide whether that needs declaring.

Skipping the declaration

Skipping is only possible if your administrator has switched on Allow Skipping the Conflict of Interest Declaration in Audit Settings → General Settings. When it is on, the declaration offers Skip, and you must give a reason. The reason is recorded in the audit history.

Where it is recorded

  • The declaration and your answer are written to the audit’s history log.

  • Select COI Declarations in the toolbar at the top of the audit wizard to se who has declared and when.

  • The published report can include the declaration — see the Include COI Declaration toggle in 8.3.
