Adding a report sign-off list

Choose who needs to sign the audit report once it's published.

Written by Caim Hermoso

Who this is for: Whoever publishes the audit: the auditor or audit owner.

A sign-off list asks named people to sign the audit report once it's published. You build the list before publishing.

Building the list

  1. On the Review & Publish step, find Report Sign-off (“People asked to read and sign the report. Nobody is asked until the audit is published.”).

  2. Search for the Person by name or email.

  3. Choose their Role — Owner, Reviewer or Stakeholder (Stakeholder is preselected) — and select Add. Repeat for each person.

  4. Make sure Audit Owner is selected under Audit Information on the same step, then select Publish Audit.

Owner, Reviewer and Stakeholder are the only roles. Before publishing you can add people, change a role or remove someone.

You can add any active user in your company, even someone without access to the audit's location. Being on the list lets them open that one report.

Note: Nobody is contacted until the audit is published. If the template needs technical review, requests go out when the reviewer approves. Requests are sent even if the “Audit report published” email is switched off.

When the requests go out, the audit history records each one, for example “Sam Patel was asked to sign the report as Stakeholder”.

If this doesn't work

  • You can't find someone — people outside your company can't be added. Check they're an active user.

  • Nobody has been asked to sign — requests go out on publish, or when technical review is approved.
