How locations control what you can see

Why you may not see every template or audit in your organisation.

Who this is for: All users.

Audit templates and audit records belong to locations. You see the ones in locations you have permission to access, and nothing else.

Three rules cover almost every case:

  1. You see templates and records only in your accessible locations. A template saved to Warehouse 2 does not appear for someone with access only to Main Office.

  2. You cannot schedule an audit into a location you cannot access. The location picker only offers the template's locations that you also have access to.

  3. There are two exceptions. If you are the Audit Owner or an assigned Auditor on an audit, you can always reach it — regardless of your location permissions.

In Create New Audit, the location field opens a Location Tree dialog. Parent locations expand to show their sublocations, so you pick the exact site or area the audit covers rather than typing a name. Sublocations inherit their parent's templates.

If this doesn't work

  • A colleague can see an audit you can't — check whether they are the owner or assigned auditor, or have wider location access.

  • A location is missing from the tree — the template is not saved to that location, or you do not have access to it.
