The Auditor Register and competence checks

Recording which standards each auditor is competent to audit, and checking it when audits are assigned.

Written by Caim Hermoso

Who this is for: Audit Administrators and Audit Managers. Changing the register needs Manage Auditor Competency.

Go to Settings → System Settings → Audit Settings → Auditor Register. The tab has two parts.

Competence by Standard

This is the list of standards your company checks competence for when an auditor is assigned. A standard is only checked while it is listed here.

  1. Search for a standard under Add a standard to check.

  2. Select Add Standard.

  3. Choose how strict the check is for that standard, and use the Certificate required switch to set whether a certificate must be held

Setting

What happens when someone not verified competent is chosen as auditor

Warn

They can still be assigned. A warning names them as not verified competent, and the assignment is recorded in the audit history

Block

Only auditors verified competent, and in date, for that standard can be chosen. If nobody qualifies, the auditor can be left blank

Remove a standard to stop checking it. Audits already scheduled are left as they are.

While no standards are listed, anyone with an audit role that includes Conduct Audits can be assigned to any audit.

The Auditor Register

Everyone who can conduct audits appears here automatically, from their audit role. There is no “add auditor” button — to add someone, give them an audit role that includes Conduct Audits.

Recording a competency

  1. Select View / Edit on the auditor’s row, then Add Competency.

  2. Choose the Standard.

  3. Add the evidence: Upload certificate, Link to certificate or Attestation.

  4. Enter the Issued and Expires dates.

  5. Tick Verify this competency now if you have checked it. Left unticked, it is saved as Pending, and does not pass the competence check until someone verifies it.

  6. Select Save.

Auditors can also upload their own certificates from My Auditor Profile. Those always arrive as Pending, for a manager to verify here. See 10.15.
