Who this is for: Users with Manage Audit Settings.
Each standard in the Standards & Regulations register can hold its certificates, external audit reports and supporting documents.
Adding a certificate
Open the standard in the register.
Select + Add Certificate.
Enter the Certificate name and, optionally, the Issuing body.
Under File, choose Upload file (PDF, Word, Excel or an image, up to 20 MB) or Link.
Enter the Issued and Expires dates. Leave Expires blank if the certificate doesn't lapse.
Optionally choose a Site. Leave it blank if the certificate covers the whole organisation. A site-specific item is only shown to people with access to that site.
Select Save.
Status comes from the expiry date. A certificate shows Expiring from 30 days before it expires, Expired after it, and Valid otherwise. Use the icons on a certificate to open, edit or delete it.
Note: Expiry reminders go 30 days before expiry to the standard's owner and everyone with Manage Audit Settings.
Adding an external audit report
Select + Add Report. Enter a Title, optionally the Issuing body, a file or link, optionally the Report date and, if needed, a Site. The report is stored on the standard as a file.
This is different from importing an audit through Create New > Audits > Audit Finding, which creates an audit record with findings you can track.
Adding supporting documents
Select + Add Document. Enter a Title, a file or link, the Document date and, if needed, a Site.
If this doesn't work
You see “Upload the file, or switch to a link.” — attach a file or switch to Link and enter the address.
You see “The expiry date cannot be before the issue date.” — check the two dates.
There are no add buttons — you need Manage Audit Settings.
