Admin quick-start: setting up Audit365 before your first audit

The settings an Audit Administrator should check before the team runs its first audit.

Work through these steps in order. Most take a few minutes, and each links to a fuller article.

  1. Give people access. Make sure each user exists in Safety365, has access to the right locations, and has an audit role. Check what each role allows before you assign it. See The four audit roles and what each can do and Creating and viewing audit roles.

  2. Check General Settings. Go to Settings → System Settings → Audit Settings. Decide whether to allow scheduled audits, ad hoc audits or both, whether references are generated automatically, and whether auditors may skip the conflict of interest declaration. See Audit Settings: the seven tabs.

  3. Set up root cause analysis. On Records & Findings, choose which root cause methods auditors can use, and review the root cause categories. See Choosing which root cause methods auditors can use.

  4. Decide on closure verification. On Corrective Actions, choose which finding types need verifying before they close. See Configuring closure verification by finding type.

  5. Choose notifications. On Notifications, switch on the audit emails you want, including whether auditees are told when an audit is scheduled. See Audit notification settings.

  6. Set up the Auditor Register. On Auditor Register, add the standards you audit against and choose whether a competence gap warns or blocks. Ask auditors to record their competencies in My Auditor Profile. See The Auditor Register and competence checks.

  7. Add your audit charter. On Audit Charter, add your organisation-wide charter first, then any site charters. Decide what happens when an audit is scheduled or published at a location with no charter in force: Off (nothing), Warn (allowed, and recorded in the audit history) or Block (stopped until a charter is in force). See Setting up your audit charter.

  8. Add and publish your templates. Add templates from the global library, or request or build your own, then publish them. See Adding a library template to My Audit Templates and Publishing a draft template so it can be used.

  9. Schedule the first audits. See Scheduling an audit: the four-step wizard.
